What to do when your bank won’t connect to QuickBooks

If your bank won’t connect to QuickBooks, you can still get the transactions in. Download them as a file from online banking, or convert your PDF statements into a .qbo or CSV file, then upload it in QuickBooks. Fix the connection when you can; the import does not depend on it.

Why bank connections fail

QuickBooks pulls transactions through a connection to your bank. That connection breaks for ordinary reasons:

  • You changed your online banking password or security settings.
  • The bank changed how it shares data, or needs you to approve access again.
  • The bank or credit union is not supported, or only some account types are.
  • The account is closed, so there is nothing left to connect to.
  • The months you need are older than the feed reaches.

The first three can often be fixed. The last two cannot, and you will need a file either way.

Try the quick fixes first

  1. Sign in to your bank’s website directly. Accept any new terms or security prompts waiting there.
  2. In QuickBooks, open Banking and look for an error or an update sign-in prompt on the account. Follow it.
  3. Check your bank’s help pages for a notice about accounting software connections.

If the feed still fails, stop troubleshooting and import by file. Your books do not have to wait for the connection.

Option 1: Download a file from your bank

Many banks have a Download transactions or Export option in online banking. Pick QuickBooks Web Connect (.qbo) if it is offered, or CSV if not. This is the cleanest route, but banks often limit how far back you can download.

Option 2: Convert your PDF statements

When the bank only offers PDF statements, or you need months older than the download allows, convert the PDFs. On the bank statement to QuickBooks page, upload a statement PDF and FastOCR returns a .qbo file, a QuickBooks Online CSV, a Quicken .qfx and an .ofx. The result also says whether the statement reconciles, so you know the balances add up before anything reaches your books.

Then upload the .qbo file in QuickBooks Online with Upload from file, or in QuickBooks Desktop with File > Utilities > Import > Web Connect Files. The QuickBooks Online import guide has the full steps.

Option 3: Enter the transactions by hand

For a handful of rows, typing them into the register is quicker than any file. Past a page or two, it is slow and easy to get wrong.

Avoid duplicates when the feed comes back

This is the step people miss. When the bank connection starts working again, QuickBooks may download transactions for dates you already imported from a file. The two copies have different transaction IDs, so QuickBooks cannot always tell they are the same row.

  • Write down the last date you imported by file.
  • When you reconnect, choose a start date after it if QuickBooks asks.
  • Check the For review tab and exclude any row you already added.

Importing the same FastOCR .qbo file twice is safe: its rows keep the same IDs, so QuickBooks recognises them. The overlap risk is only between a file and the live feed.

Frequently asked questions

Can I add bank transactions to QuickBooks without a bank connection?

Yes. QuickBooks Online imports .qbo, .qfx, .ofx and CSV files with Upload from file in Banking, and QuickBooks Desktop imports .qbo Web Connect files. Download a file from your bank, or convert your PDF statements to one.

Will I get duplicates when the bank connection comes back?

You might. When a feed reconnects it can download transactions you already imported from a file, and those rows have different transaction IDs. Review the For review tab and exclude any row you already added.

My bank only gives me PDF statements. What now?

Convert the PDFs into a QuickBooks file. FastOCR reads digital PDF statements from US and UK bank accounts, in English, and gives you a .qbo file, a QuickBooks Online CSV, a .qfx and an .ofx with every result.

Is it safe to upload bank statements to FastOCR?

Uploads are encrypted, private to your account and deleted after 30 days. Sign-in is required to convert bank statements.
