Beta: Works with digital PDF statements from US and UK bank accounts, in English. Scanned statements and photos are read with OCR and may need more review. Verified rows from scans and photos are less certain than from digital PDFs. Card and loan statements are refused and not charged. Check dates and descriptions against your statement.

How do I get a PDF bank statement into QuickBooks?

QuickBooks does not import PDF bank statements. It imports bank files. FastOCR reads a digital PDF statement from a US or UK bank account, in English, and gives you four import files with every result: a QuickBooks Web Connect file (.qbo), a QuickBooks Online CSV with Date, Description and Amount columns, a Quicken file (.qfx) and an OFX file (.ofx) for Xero, Wave and other accounting tools. QuickBooks Online imports the .qbo file or the CSV with Upload from file in Banking. QuickBooks Desktop imports the .qbo file from File > Utilities > Import > Web Connect Files. In the .qbo, .qfx and .ofx files every transaction has a fixed ID, so importing the same statement twice does not add its rows again. Before you import, the result tells you whether the statement reconciles: opening balance plus money in minus money out equals the closing balance.

How it works

  1. Step 1

    Upload the statement

Sign in and upload a digital PDF statement downloaded from a US or UK bank.

  2. Step 2

    Check the balance

FastOCR reads the transaction rows and tells you whether the statement reconciles. Check dates and descriptions against your statement.

  3. Step 3

    Download and import

Download the .qbo, QuickBooks Online CSV, .qfx or .ofx file, import it, and choose the account the transactions belong to.

Import the .qbo file

Import into QuickBooks Online

  1. 1Download the .qbo file from your FastOCR result.
  2. 2In QuickBooks Online, open Banking > Bank transactions. Some accounts show it as Transactions > Bank transactions.
  3. 3Open the Link account menu and choose Upload from file. Older menus call it Upload transactions.
  4. 4Choose the .qbo file, then pick the QuickBooks account the transactions belong to.
  5. 5Review the rows in the For review tab, then add or match each one.

Import into QuickBooks Desktop

  1. 1Download the .qbo file from your FastOCR result.
  2. 2In QuickBooks Desktop, choose File > Utilities > Import > Web Connect Files.
  3. 3Select the file. When QuickBooks asks, pick the existing bank account or create a new one.
  4. 4Review the transactions in Bank Feeds and add them to the register.

Before you import

The bank name can look wrong

The files use a generic bank ID, not your bank’s own ID. QuickBooks may show a bank name that is not yours during import. Pick your own account and the rows go to the right place.

Downloading again does not duplicate rows

Each row in the .qbo, .qfx and .ofx files keeps the same ID when you download the same result again, so QuickBooks recognises rows it already imported. Uploading the statement again gives a new result whose IDs can differ. The CSV has no IDs, so importing it twice adds the rows twice.

Check before you import

If the result says Not reconciled or Could not be checked, compare the rows with your statement first. The check does not cover dates or descriptions, so look at those too.

FAQ

Frequently asked questions

Step-by-step guide: import a bank statement PDF into QuickBooks Online.

Can I convert a bank statement PDF to a QBO file?

Yes. Every bank statement result includes a QuickBooks Web Connect (.qbo) file next to the Excel, CSV and JSON downloads. It imports into QuickBooks Online and QuickBooks Desktop. FastOCR reads digital PDF statements from US and UK bank accounts, in English. Scanned statements and photos are read with OCR and may need more review.

Do the QuickBooks files cost extra?

No. The .qbo, QuickBooks Online CSV, .qfx and .ofx files come with every bank statement result, the same as Excel, CSV and JSON. Your first 50 statement pages are free after sign-in. After that you buy a one-time Bank Statement Pack, with no subscription.

Should I import the .qbo file or the CSV?

Use the .qbo file when you can. QuickBooks reads it without column mapping, and each row has an ID, so QuickBooks skips rows you already imported. Use the CSV when you want to edit rows in a spreadsheet first. The CSV has three columns, Date, Description and Amount, with money out as a negative amount.

Why does QuickBooks show a different bank name?

The files use a generic bank ID instead of your bank’s own ID, so QuickBooks may show a bank name that does not match yours. Choose your own account when QuickBooks asks which account the transactions belong to.

What happens if I import the same statement twice?

If you download the same result again, each transaction in the .qbo, .qfx or .ofx file keeps its ID, so QuickBooks recognises rows it already imported instead of adding them again. Uploading the statement again gives a new result whose IDs can differ, so import from one result. The CSV has no transaction IDs, so a second CSV import adds the rows again.

Can I import the files into Xero, Quicken or Wave?

Yes. Import the .ofx file into Xero, Wave or another tool that reads OFX, and the .qfx file into Quicken. Each tool asks which account the transactions belong to.

Does it work with credit card statements?

No. FastOCR reads bank account statements. Card statements and loan statements are refused and you are not charged.
