How to Digitize Business Cards with OCR
Business cards pile up in drawers and get lost. OCR can extract names, titles, companies, phone numbers, and emails from card images — turning a stack of paper into a searchable digital contact list.

Business Card OCR Challenges
- Creative layouts. Business cards use varied fonts, colors, orientations, and graphical elements that confuse OCR engines designed for standard documents.
- Small text. Contact details are often in 7-9pt font, requiring high-resolution captures for accurate recognition.
- Text on backgrounds. Cards frequently have text overlaid on logos, patterns, or colored backgrounds that reduce contrast.
- Multi-language cards. International contacts may have cards with text in two or more languages and scripts.
- Non-standard data. Titles, departments, and secondary phone numbers vary in placement and format between cards.
How to Scan Business Cards for OCR
- Photograph flat. Place the card on a contrasting background (white or dark) with even lighting. Avoid shooting at angles.
- Use macro mode if available. Phone cameras in macro mode capture small text more clearly than standard focus.
- Crop tightly. Remove background clutter so the OCR engine focuses only on the card text.
- Upload to FastOCR. Process the image and get extracted text in seconds.
- Parse into contact fields. Use the extracted text to populate name, title, company, phone, email, and address fields in your contact manager.
Batch Processing Workflow
After a conference or networking event, you may have dozens of cards to process. An efficient batch workflow:
- Photograph all cards in sequence with consistent lighting and framing
- Upload each image to FastOCR (or combine into a multi-page PDF)
- Copy all extracted text into a spreadsheet with columns for each contact field
- Clean up and verify the data (check phone numbers and emails especially)
- Import the spreadsheet into your CRM or contact manager via CSV import
This batch approach processes 50 cards in about 15-20 minutes vs 1-2 hours of manual entry.
